Terms & Conditions of Admin Accounts
I am bound by the ethical guideline of IAB and accept instructions to act in accordance with those ethical guidelines.
You are legally responsible for making a correct return in respect of your annual tax liability, and for paying your tax on time. As your agent, it is therefore essential that I am supplied with all relevant information concerning your taxation affairs in good time and I will be sure to pass this on to your accountant on your behalf.
To facilitate this, please provide me with copies of any communications you receive from the HM Revenue and Customs, as soon as you receive them. I will of course forward these on to your accountant as well.
Bookkeeping/accounting work - my responsibilities
• I will keep your accounting records up to date including wages, VAT and PAYE and the work we do will come under the general term of bookkeeping/accounting.
• I will send any correspondence or returns or forms on time and retain copies as necessary.
• I will deal with any correspondence received from Companies House and HM Revenue and Customs or from you as necessary.
Bookkeeping/accounting work - Your responsibility
• You must provide us with all the information required to fulfil this duty, including notification of any changes in the day-to-day running of your accounting/bookkeeping system.
You must provide any correspondence that we are required to deal with on your behalf in reasonable time. We will not be accountable for any overdue letters or fines arising thereof.
File destruction
Whilst certain documents legally belong to you, unless you tell me to the contrary, I intend to destroy correspondence and other papers that are more than seven years old unless I think they may be of continuing significance.
Business Continuity
In the unlikely event, through unforeseen circumstances, key members of this practice are incapacitated and therefore unable to access our records; arrangements have been made so that, relevant information you need and are entitled to may be provided by contact with your accountant, although you should also have access to your own software through your own personal log in.
Client identification
I am required to identify all my clients and may request from you, and retain, such information and documentation as we require and/or make searches of appropriate databases. All bookkeepers (and accountants) must comply with the duties imposed by the Proceeds of Crime Act 2002, The Terrorism Act 2000 and The Money Laundering, Terrorist Financing, and Transfer of Funds (Information on the Payer) Regulations 2017. Failure to perform these duties can result in fines and/or imprisonment.
Payment
Work will be carried out on an ongoing basis and billed at the end of the month, payments is required on receipt unless otherwise agreed in writing. I reserve the right to add interest to unpaid invoices.
Termination of Service
You or I may vary or terminate our authority to act on your behalf at any time without penalty. Notice of variation or termination must be given in writing.
